Terms of Service

1. Agreement to terms

These Terms of Service ("Terms") govern your use of MeetingMind, operated by Vinoth Kumar Rajendran ("we", "us", "our"), an individual proprietor based in Salem, Tamil Nadu, India.

By creating an account, downloading the application, or using any part of MeetingMind, you agree to be bound by these Terms. If you do not agree, do not use MeetingMind.

You must be at least 18 years old to use MeetingMind. By using our service, you confirm you meet this requirement.

2. Description of service

MeetingMind is a desktop AI assistant that provides real-time transcription and AI-powered suggestions during meetings and interviews. The service consists of:

• A Windows desktop application that captures and transcribes audio in real time
• An AI suggestion engine that analyses transcripts and provides contextual responses
• A web dashboard for account management, billing, and session history
• An Interview Copilot mode that uses your uploaded CV and job description to provide personalised interview coaching

MeetingMind is a tool to assist you — it does not guarantee any outcome, including success in interviews, meetings, or negotiations.

3. Account registration

You must create an account to use MeetingMind. You agree to:

• Provide accurate and complete information during registration
• Keep your login credentials secure and confidential
• Notify us immediately of any unauthorised access to your account
• Accept responsibility for all activity that occurs under your account

We reserve the right to suspend or terminate accounts that provide false information or violate these Terms.

4. Subscription and billing

4.1 Plans

MeetingMind offers the following paid plans:

• Starter: ₹999/month or ₹9,999/year — 3 hours per month
• Pro: ₹1,999/month or ₹19,990/year — 7 hours per month
• Power: ₹2,499/month or ₹24,999/year — 16 hours per month
• Unlimited: ₹3,499/month or ₹34,999/year — subject to fair use policy (see Section 5)

A free tier with limited usage is also available. Plan features and pricing are subject to change with 30 days notice to active subscribers.

4.2 Billing

Payments are processed by Razorpay. By subscribing, you authorise us to charge your selected payment method on a recurring basis (monthly or annually) until you cancel.

Annual plans are billed as a single upfront payment covering 12 months of access. Monthly plans are billed on the same date each month.

4.3 Free trial and coupons

We may offer promotional minutes, coupon codes, or trial access from time to time. These are subject to the specific terms stated at the time of the offer and may be withdrawn at any time.

4.4 Taxes

All prices are exclusive of GST and other applicable taxes. GST at the prevailing rate will be added to your invoice where required by Indian law.

5. Fair use policy — Unlimited plan

The Unlimited plan provides access to MeetingMind without a fixed minute cap, subject to the following fair use conditions:

• Fair use limit is 40 hours of active session time per calendar month
• Users who consistently exceed this threshold may have their usage throttled during peak hours
• The Unlimited plan is intended for individual use only — shared or multi-user access on a single account is not permitted
• Automated or programmatic use that artificially inflates usage is prohibited

We reserve the right to contact users whose usage significantly exceeds the fair use threshold to discuss appropriate plan options.

6. Cancellation and refund policy

6.1 Cancellation

You may cancel your subscription at any time from your dashboard under Billing. Cancellation takes effect at the end of your current billing period. You will retain full access to MeetingMind until that date.

6.2 No refund policy

All payments are non-refundable. This applies to both monthly and annual subscriptions. Unused minutes or unused months in an annual plan are not refunded upon cancellation.

This policy is consistent with industry practice for software-as-a-service products. By subscribing, you acknowledge and accept this no-refund policy.

6.3 Exceptions

We will issue a refund only in the following circumstances:

• Duplicate payment due to a technical error on our side
• You were charged after a confirmed cancellation
• The service was completely unavailable for more than 72 consecutive hours during your paid period

Refund requests must be submitted to support@meetingmind.in within 7 days of the charge.

7. Acceptable use

You agree to use MeetingMind only for lawful purposes. You must not:

• Record conversations without the knowledge or consent of other participants where required by law
• Use MeetingMind to cheat in academic examinations, certified professional assessments, or any process where AI assistance is explicitly prohibited
• Attempt to reverse engineer, decompile, or extract the source code of MeetingMind
• Share your account credentials with others or allow multiple users to access a single account
• Use MeetingMind to generate content that is defamatory, fraudulent, or illegal
• Attempt to circumvent usage limits, billing, or security measures
• Use the service in a way that could damage, disable, or impair our infrastructure

Violation of acceptable use terms may result in immediate account suspension without refund.

8. Intellectual property

MeetingMind, including its software, design, branding, and content, is the intellectual property of Vinoth Kumar Rajendran. All rights are reserved.

Your data — including your CV, transcripts, and session content — remains your property. You grant us a limited licence to process this data solely to provide the MeetingMind service to you.

We do not claim ownership of any content you upload or generate through MeetingMind.

9. Disclaimer of warranties

MeetingMind is provided on an "as is" and "as available" basis without warranties of any kind, either express or implied.

We do not warrant that:

• The service will be uninterrupted, error-free, or available at all times
• AI suggestions will be accurate, complete, or suitable for any particular purpose
• The service will meet your specific requirements or expectations
• Transcription will be 100% accurate in all conditions

AI-generated suggestions are for assistance only. You are solely responsible for any decisions made based on MeetingMind output. MeetingMind is not a substitute for professional advice.

10. Limitation of liability

To the maximum extent permitted by applicable law, Vinoth Kumar Rajendran and MeetingMind shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of, or inability to use, the service.

Our total liability to you for any claim arising from these Terms or your use of MeetingMind shall not exceed the amount you paid us in the 3 months preceding the claim.

Nothing in these Terms excludes liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.

11. Governing law and disputes

These Terms are governed by the laws of India. Any disputes arising from these Terms or your use of MeetingMind shall be subject to the exclusive jurisdiction of the courts of Salem, Tamil Nadu, India.

Before initiating any legal proceedings, you agree to first contact us at support@meetingmind.in and allow 30 days for resolution.

12. Changes to these terms

We may update these Terms from time to time. When we do, we will update the date at the top of this page and notify active subscribers by email if changes are material.

Your continued use of MeetingMind after changes take effect constitutes your acceptance of the updated Terms. If you do not agree to the updated Terms, you must stop using MeetingMind and cancel your subscription.
